Jun 02 : Providence Health & Services Achieves 99.8% Accuracy with Versio Data Migration

Versio was selected as the solution provider for legacy data migration in the deployment of the Epic Electronic Health Record (EHR) system throughout Providence’s more than 300 facilities across five states. The challenging project achieved results far above industry standards.

The Providence system is renowned for their mission-driven commitment to quality patient care. During the planning phase for their Epic implementation, a number of concerns were uncovered, including:

1.3 million charts in 300+ locations across 5 states
Rolling go-lives across 18 months
7 different legacy systems (including paper) with greatly inconsistent data
Nearly perfect accuracy required
Data sets needed to be minable in the new EHR
How to keep charts updated as patients are seen during the migration process?

These issues are universal when systems of any size consider aggregating and standardizing patient records. Fortunately, the implementation team began planning very early on to ensure they could explore a broad range of options. Unfortunately, none of the options available seemed able to meet the system’s exacting standards. Even the Epic specialists were discouraging the system from migrating the data, as they couldn’t recommend a viable approach. The project was almost to the point of being taken in-house at great expense until a meeting with project leaders and the Versio team led them to a completely unique solution.

Some of the recommendations developed by Versio:

Utilize a combination of an intelligent translation platform and skilled medical data translators to ensure absolute quality control.
Charts could be staged and automatically reworked to include updates from interim visits.
Multiple QA and communication processes could be implemented to ensure business rule compliance.

The results:

EVERY go-live on was on schedule (16+).
Providence’s QA team reported 99.83% accuracy when the Epic data was compared to the source.
There were significant cost savings over their own projections.
The resultant data was 100% minable for analytics.
The fully integrated data greatly increased productivity, improved patient safety and allowed for seamless continuity of care.

The program manager from Providence summarized, “The team at Versio by ScribeRight worked closely with our project team to migrate clinical data for over a million charts into Epic.
