Technologies That Keep Hospitals Organized

Hospitals need to have up-to-date technologies in place if they are to run efficiently. When most people think of hospital technologies, they might think of X-rays or heart monitors. Of course, smaller pieces of technology– especially technologies that keep hospitals organized– are also important. Below are some of the best pieces of technology hospitals should use to keep organized.

Document Scanners

Digitizing files is one of the best ways to keep files more organized. This is true both in hospitals and in other businesses. Hospitals in first world countries are likely to have most of their files stored online or on computers. However, there are some types of paperwork that hospitals need to have hard copies of. For these types of paper, it can be helpful for hospitals to make a digital copy of the hard copy so that there is a back-up available if anything were to happen to the hard copy.

One of the fastest ways to digitize any type of (printer-sized) paper is to use a document scanner. These scanners basically save a file of a picture of the original document. So, why not just take a picture of the document instead of investing in a document scanner? The quality of a scanned image is usually much better than if you were to take a photo of a document. This can make them easier to read and edit later on, if need be.

Online File Cabinets

Once a file is digitalized, you need to have a place to store it. With hard copies, you would usually store them in a file cabinet. As it turns out, you can also store digital files in a digital (online) file cabinet. This is sometimes called storing files in “the Cloud.”

With Cloud storage, all of the documents are uploaded to the Internet. However, this doesn’t mean that the files are available to the public– like they might be if they were simply uploaded to any old website. Instead, only people who have the username and password for the site can access the records, which makes them secure. The best part about using online file cabinets is that you can store any type of file in them, ranging from chiropractic physical examination forms, to patient test results.

Patient Scheduling Software

One technology that greatly benefits both hospital staff and patients is patient scheduling software. Both hospital staff and patients can interact with this type of technology. This can’t be said of the rest of the technologies in this article, which makes it unique.

On the hospital staff end of things, staff can schedule appointments (including color-coding them as using other organization options within the schedule) and send patients appointment reminders and alerts. On the patient end, patients can see their appointments and request the appointment date/time be changed or canceled entirely.

Medical Billing Software

No one likes to talk about the billing side of things when it comes to hospitals, but in the United States, hospitals are run similarly to any other type of business. Like any other business, hospitals seek to turn a profit. Using medical billing software is one of the best ways to keep invoices and other patient bills organized.

There are a few key components that every good medical billing software should include to qualify for inclusion. These include invoice templates for different treatment types; the ability to send bills to patients, other doctors or hospital departments, and insurance companies; further internal software to handle refunds or partial reimbursement; and features to organize invoices to match with patients.

Whether you currently work in or run a hospital, these technologies and software can help to make any office in a hospital more organized. If your hospital does not already use these technologies, do your best to encourage hospital administrators to look into them. After all, the better organized a hospital is, the smoother things run for both hospital staff and patients.
